How to use this free estimate template
- Replace Example Studio and Example Client with the real business and client names. Give the estimate a number and a specific project title.
- Add each service, its quantity and its unit price before tax. Use a quantity of one for a fixed package, or enter hours or visits for work priced by the unit.
- Choose USD or CAD, enter the sales tax rate that applies to your service, and set a review date if you need one. Currency selection changes the label; it does not convert your prices.
- Describe the included work, exclusions and proposed terms. Review the preview, then copy it or use your browser's Save as PDF option from the print dialog.
Your entries stay in this page and are lost if you reload or close it. Save a copy before leaving. Copying or printing does not send the estimate, record approval or collect payment.
A worked example: website design and revision support
The starting example contains a fixed website design package at USD $900 and two hours of revision support at USD $75 per hour. The subtotal is $1,050. With a 5% example tax rate, tax would be $52.50 and the estimated total $1,102.50. The tool starts with no tax entered; use your own applicable rate.
Spell out the deliverables behind that price. Three pages, a handoff call and defined revision support give the client a clearer decision than a single line saying “website.” Hosting, copywriting and maintenance belong outside the scope unless you have agreed to include them.
What should an estimate include?
Use the business and client names, a document number, a project title, itemized quantities and prices, the currency, any applicable tax and the estimated total. Add the scope, assumptions, exclusions and a reasonable next step. You can include your contact details in the notes.
An estimate proposes work and a price. An invoice requests payment for work or a milestone under your agreement. When the client approves, confirm the schedule and payment arrangements before beginning. See the difference between an estimate and an invoice.
When you need more than a standalone document
This free template is useful for preparing one draft. In the DetailSprout workspace, you can save reusable services, keep estimates with client records, share an acceptance link and convert an estimate into a draft invoice. Your template entries are not automatically imported; create the client and service in your workspace when you are ready.
